A Club Treasury App That Ends the Tally List

Most club treasuries still run on tally lists, beer mats and a treasurer who spends three evenings a year on the maths. Vereinsbar by Gemivo turns that into one tablet on the wall: balances, tabs, stocktaking and a cash book every committee member can follow.

Why the classic club cash box collapses

The tally list works, at first. With 30 members, two bar duties a week and a fridge full of drinks, it still collapses at the same three points: drinks get poured but not written down. Balances live nowhere reliable, so one member pays ahead, another later, and nobody settles at the end of the month. The annual stocktake is an educated guess, and when the treasurer is on holiday, nobody knows how much money should be in the box.

Professional point-of-sale systems solve this, but they regularly cost more per year than a volunteer club bar takes in. So most clubs end up with a hybrid: tally list for balances, a spreadsheet nobody maintains, and orders to the wholesaler by gut feeling.

A club treasury app therefore has to do three things at once: be faster than the tally list at the counter, keep balances and stock airtight, and cost so little the club never thinks twice about it.

What a club treasury app must be able to do

How Vereinsbar works in club life

Vereinsbar is built as a tablet kiosk: one tablet at the counter, PIN login for whoever is on bar duty, large buttons, little room for mistakes. Members carry a balance they can top up via PayPal, outside opening hours too. At the counter, each booking is tied to a member, and the system moves balance, stock and deposits together.

Behind that runs a real stock management system: goods receipts are recorded, the stock level updates with every booking, and stocktaking counts against the target stock instead of against a guess. Whatever does not add up shows up immediately, not at the end of the year.

Every club gets its own instance on its own subdomain, ready in minutes and fully separated. The data sits on servers in Germany. And because Vereinsbar runs as a PWA, the browser on the tablet is enough. See how it looks.

Data, GDPR and money

A club treasury processes member data and payments, so the infrastructure question is fair: Vereinsbar runs on German servers, each club instance is separated, and there are no advertising profiles and no data sharing with third parties. Top-ups run through PayPal, so the club does not need its own payment provider contract.

During the beta, Vereinsbar is free. After that it becomes part of the gemivo subscription, deliberately priced so a normal club can carry it. For the committee, the core calculation stays the same: the app saves time and prevents mistakes, and both are worth more than it costs.

Frequently asked questions

Do we need special hardware for the club treasury?

No. Any tablet with a browser works, Vereinsbar runs as a PWA directly in the browser. A tablet stand at the counter is the only recommendation.

Can members top up their balance themselves?

Yes, via PayPal. That works outside opening hours too, the treasurer does not have to be involved.

What happens after a wrong booking?

Bookings stay traceable, and bar duty can correct them via PIN login. Since every booking is tied to a member and an item, a correction takes seconds.

Where is our club data stored?

On servers in Germany, one separate instance per club. No sharing with third parties, no advertising profiles.

What does Vereinsbar cost?

Free during the beta. After that it becomes part of the gemivo subscription, at conditions a normal club can carry.
